DERA International Privacy Policy

Inquiries: name, email, company and business role where supplied, language, contact preferences, country or port, vehicle or engine specifications, quantities, timing, logistics details, questions and any permitted attachments. We also record the form, page, time, acknowledgment version and selections needed to handle the request.

Business communications: correspondence and documents you provide while discussing quotations, purchases, suppliers, transport, customs, delivery, payments or a claim. A company document may identify its representatives or other individuals.

Partner accounts and applications: account identifiers, business and contact details, application answers, supporting evidence, save and submission records, and staff review history. The application provides its own notice and current intake status before document submission.

Technical information: our hosting and security services process connection and browser information, such as IP address, request time, page and session information. Our forms retain limited security and retry records to resist abuse and avoid duplicate submissions.

We use inquiry details to respond, understand eligibility and requirements, review availability or feasibility, prepare quotations, and arrange the specific follow-up you requested. We use supplier and business-contact information to evaluate offers and coordinate the relevant work.

If a transaction proceeds, we use the necessary information to administer the agreement, identify the parties and goods, coordinate payment, transport, customs and delivery, maintain required business records, and handle changes, disputes or claims.

We use partner application information to assess the proposed relationship, check evidence, communicate its status and keep a review record. Submission or document acceptance is not approval of a partnership.

We use technical and acknowledgment records to operate and protect the site, investigate failures or suspected fraud, maintain reliable submissions, and demonstrate the request and choices made. We do not use an inquiry acknowledgment as permission for unrelated promotional messages.

Do not put passwords, authentication codes, full payment-card details, online-banking credentials, My Number, unnecessary passport or identity copies, health information or other unnecessary sensitive information in public inquiry forms. Use only the document categories and channel specifically requested for a later verification step.

Provide accurate information and only information you are entitled to share. Remove unrelated personal details from attachments. If you send another person’s information, give them the relevant notice and obtain any authority or consent required for that disclosure.

The website uses Wix for hosting, forms, account services and private application storage. Corporate inquiries are recorded in Wix Forms. Private operational records support submission recovery, abuse controls and attachment handling. Form notifications are routed to DERA’s export mailbox; follow-up correspondence and necessary business records may also be held in our business email and restricted working records.

DERA personnel with a business need and authorized service providers handle relevant information for these purposes. We use access restrictions, authenticated account and staff access, HTTPS transport and checks intended to prevent one applicant from viewing another applicant’s records. Partner evidence uses private storage and a restricted company workstation for document checking. These measures do not make every document or message risk-free.

Our email provider and other communications services process messages sent through their services. External services linked from the site apply their own notices when you use them. Do not send documents to an external portal unless it is appropriate for the agreed task.

Where needed for the request or agreed transaction, relevant details may be shared with the identified seller or supplier, transport or forwarding provider, customs or inspection specialist, insurer or claim handler, professional adviser, or competent authority. We limit the information to the purpose and obtain any consent or other legal basis required before disclosure. A general inquiry is not unrestricted permission to circulate documents.

An external provider’s role, country and information needs depend on the actual route and service. Ask us before supplying documents if you need those details. We do not sell personal information. A provider’s quotation, insurance cover, booking or claim decision remains subject to its own confirmed terms.

Wix.com Ltd. is based in Israel. Wix identifies data centers in the United States and Ireland and uses group companies and service providers in other countries. This means information handled through Wix may be processed outside Japan; we do not promise Japan-only storage or a particular data center for each record.

Provider information: Wix privacy and security information; Wix Data Processing Agreement; Wix sub-processor list. These describe Wix’s arrangements and do not by themselves establish the legal basis for every DERA disclosure.

For a specific overseas business recipient, we will identify the intended recipient, destination and purpose before arranging the relevant disclosure, and address applicable consent and safeguard requirements. Contact export@derainternational.com for available information about overseas handling or protective measures. Do not use this notice as a blanket authorization for a new overseas recipient.

Wix hosting, security and sign-in services can use cookies or similar session technologies to deliver pages, maintain authentication and protect requests. Your browser can restrict or clear these, but sign-in and other functions may stop working.

Selecting a language does not authorize unrelated tracking or advertising. This notice does not treat continued browsing as consent to optional analytics or advertising cookies. Where an optional feature requires a choice, that choice must be presented before it is enabled. Links to external sites do not extend DERA’s control to those sites.

Corporate inquiries, their permitted attachments, email correspondence and related operational records do not currently have one automatic expiry period. We assess continued need by the open request, follow-up, transaction, legal recordkeeping, dispute and security purposes. When information is no longer needed for these purposes, it should be deleted or made non-identifying. Contact us to request a review of a particular record.

The partner application has a separate current policy: drafts expire 30 days after the last saved change; submitted applications and their review records expire 180 days after submission. Expired records become unavailable and a scheduled process removes the associated stored records and files. The application notice explains the operating conditions and any current test-only intake restriction. These periods do not apply to ordinary corporate inquiries or later transaction records.

Deleting an application does not itself delete every separate account, email or transaction record. Those records require their own retention review. Provider backups or legally required records may not disappear at the same moment as the active record. We will explain any continued retention relevant to your request.

Write to export@derainternational.com or the postal address in section 1. Describe the record or interaction, approximate date, what you want us to do, and a safe way to reply. You may request the purposes of use, access to retained personal data or applicable third-party provision records, correction, addition or deletion of inaccurate data, cessation of use, erasure or cessation of third-party provision, as provided by applicable law. The same contact receives privacy complaints.

We verify identity and, for a representative, their authority in a proportionate way. Start with the email address or reference used in your interaction; do not send an identity document unless we request it through an appropriate channel. We explain any necessary additional information.

We review the request, applicable rights and any lawful reason to retain or restrict disclosure, and notify you of the outcome and reasons without undue delay. We do not charge a fee for an ordinary electronic request under this procedure. Withdrawal of consent applies to the activity based on that consent and does not erase separate legal obligations or invalidate earlier lawful handling.

We identify the effective update date on this page. A notice change does not retrospectively change the acknowledgment recorded for an earlier submission or authorize an unrelated new purpose. We will give any additional notice or obtain any consent required for a material change.

English and Japanese versions of this notice are available. Contact us if their meaning appears inconsistent. The Terms of Service and Commercial disclosure explain inquiry and transaction conditions; they do not waive mandatory privacy rights.
